Charlotte Ann Cox Elementary PTA (“Cox PTA,” “we”) runs cox-pta.org for the families, staff and friends of Cox Elementary. This page explains what information the site collects and what we do with it. The short version: we collect only what we need to run PTA programs, we never sell it, and you can ask us about it any time.

What we collect

• Store and donations. When you buy spirit wear, join, or donate, we collect your name, email, and what you ordered. Payments are processed by Square; we never see or store your card number. Square’s own privacy policy applies to the payment itself.
• Fundraiser tracker. A donation may include a student’s name and teacher so the gift counts toward class and student totals. You choose how the student’s name appears publicly (full name, first name and last initial, first name only, or not at all).
• Membership. Names and emails of PTA members, used for the membership roster required by Texas PTA and for PTA communications.
• Signups and forms. Volunteer signups and contact forms collect the details you type in, and go only to the PTA volunteers who run that program.
• Board sign-in. PTA board members and chairs may sign in with Google to update the site. We receive their name and email address from Google and nothing else. This sign-in is for board members only.
• Basic site logs. Like every website, our host records standard technical information (such as IP address and browser type) to keep the site running and secure.

What we do with it

• Fulfill your order, record your membership or gift, and send you a receipt.
• Run PTA programs: fundraiser totals, volunteer coordination, membership awards.
• Send PTA news to members and people who asked for it. You can unsubscribe from any email.

We do not sell, rent, or trade your information. We share it only with the services that make the site work (Square for payments, Google for board sign-in, our web host) and only as needed for that purpose.

Children

The site is for adults. Any student name on the site is entered by a parent or guardian, who controls how it appears. We never collect information directly from children.

Cookies and outside content

The site uses only the cookies needed to run it (for example, keeping a board member signed in). Some pages embed content from Facebook, Google, or other services, and those services may set their own cookies under their own policies.

If this policy changes, the new version appears here with a new date at the top.
